We are seeking a highly skilled and experienced Accounts Payable Manager to join our team. The ideal candidate will be a solution-driven leader capable of evaluating and improving processes while coaching and motivating a team of accounts payable specialists. This role involves overseeing the daily operations of the Accounts Payable department, ensuring timely and accurate processing of invoices, payments, and reconciliations. Responsibilities

Team Management:

  • Supervise, train, and develop a team of Accounts Payable Specialists, providing guidance and support as needed.
  • Oversee daily workflow, providing feedback and direction to improve processes, accuracy, and productivity.

Invoice and Payment Management:

  • Oversee the processing, verification, and matching of invoices, purchase orders, and payments in a timely and accurate manner.
  • Handle check requests, advances, payroll, legal payments, and tax checks.
  • Verify and match invoices to checks, obtain all necessary signatures, and distribute checks accordingly.
  • Enter and verify invoices in the system, ensuring accuracy and proper matching.

Vendor Management:

  • Research new vendors, manage the approval process, and develop and maintain vendor relationships.
  • Oversee the verification and validation of vendor information using sources like BBB and D&B reports.
  • Maintain and manage vendor files to ensure accuracy.
  • Promptly resolve payment issues or disputes.

Compliance and Policies:

  • Monitor and enforce compliance with company policies and procedures.
  • Ensure all ACH/EFT/Wire payments are recorded promptly.
  • Manage the purchase card program and petty cash.

Month-End Close:

  • Manage the month-end close process, ensuring all accounts payable transactions are recorded accurately.
  • Collaborate with other departments for accounting-related research and process enhancements.

Reporting and Analysis:

  • Prepare and analyze accounts payable reports for management.
  • Conduct weekly, monthly, quarterly, and annual analyses to ensure payment accuracy.

Process Improvement:

  • Identify and implement improvement opportunities to streamline the accounts payable process.
  • Research and resolve unmatchable and invalid invoices, ensuring they are processed correctly.

System and Program Management:

  • Manage the check processing and vendor statement processing.
  • Oversee the Accounts Payable system, including uploading OEM daily invoices and posting wire transfers.
  • Monitor internal/external audits.

Credit and Expense Management:

  • Keep track of all company credit card spending and make timely payments on credit accounts.
  • Oversee expense reporting and reimbursement processes.

Collaboration and Industry Trends:

  • Work closely with the accounting team and other departments to support all business lines and ensure the efficient and accurate processing of invoices and payments.
  • Stay updated on industry trends and best practices in accounts payable management.
Qualifications
  • Bachelor’s degree in Accounting, Finance, or a related field is preferred but not required.
  • Minimum of 6 years of recent experience in accounts payable, with at least 3 years in a supervisory or managerial role.
  • Experience in the manufacturing, construction, retail, or related industries is highly preferred.
  • Advanced knowledge of Microsoft Excel and proficiency in accounting software.
  • Strong knowledge of accounts payable processes and procedures, including knowledge of GAAP and financial reporting.
  • Excellent communication and interpersonal skills.
  • Ability to manage and prioritize multiple tasks in a fast-paced, growing environment.
  • Strong analytical and problem-solving skills.
  • Demonstrated experience with process improvement and implementing changes.
